Goods-in
Goods-in is where traceability begins. When a delivery arrives at your site, Our software lets your team book products in against the original purchase order, recording supplier, product, quantity and batch or lot identification as part of day-to-day work rather than a separate paperwork step. Because stock and inventory are updated as goods are received, you start from an accurate position for everything that follows — materials issued to works orders, production runs and the finished goods that leave your site. Where an EDI advance shipping notice is available, much of the booking-in process can be handled automatically, and any discrepancy between what was ordered and what arrived is flagged at the door instead of being discovered further down the line
Processing and Production
Processing and production is where incoming materials become your products, and where traceability either holds together or falls apart. Our software connects the two through works orders and bills of material: ingredients and other inputs are issued against a production run, so every finished batch carries a record of what went into it, from which supplier lots, in what quantities. Shop-floor data capture records activity as it happens — weights, yields, quality checks and waste — giving production teams real-time visibility of the line rather than a paper trail to reconcile afterwards. Because output is measured against expected yields and costs, managers can spot and investigate differences between what a run should have produced and what it actually did, while quality checks and HACCP controls are recorded as part of the run rather than kept in separate systems.
Packaging and Labelling
Packaging and labelling is where product identity is fixed to the physical product. At this stage, Our softwre links finished packs and cases back to their production records, so the label applied on the line — whether barcode, QR code or RFID — carries the batch and traceability information captured earlier in the process. Weighing and labelling equipment can be integrated so pack weights, product codes and label data are recorded automatically as part of the workflow, reducing manual re-entry and the risk of mislabelling. Because each pack, case and pallet is identified against its works order and batch, the identity of what you ship stays consistent from production through to customer despatch
Despatch
At despatch, the product and batch information can be linked with finished goods, orders and customer records. Despatch scanning can support the recording of what leaves your site and where it is going, extending traceability through to customer despatch.
The stages and information required vary between businesses. We can discuss your process and help identify where data is already captured, where connections are needed and what a suitable Traceability Software setup could include.
Yield analysis and compliance support
Traceability records can also support a better understanding of production performance. When material use and finished output are recorded consistently, your team can review yield, costs and waste alongside relevant production information. This can help managers investigate differences between expected and actual results.
Our software solutions include production management and yield analysis capabilities. The information available for analysis depends on the modules selected and the data captured by your operation. We can help you consider what information would be useful for your production, quality and management teams.
Hub and Spoke’s Traceability Software can also support record keeping for quality processes and compliance requirements. The system should reflect the controls and documentation your business needs; software does not replace your own procedures or responsibility for meeting applicable requirements. We can discuss the records and checks that matter to your operation and how they may fit into a connected system.

Modular SaaS that works with your setup
A new system should fit your operation and the software you already use. Our modular SaaS approach means we can discuss a solution that stands alone or co-exists and integrates with existing systems, depending on your requirements.
You can consider the modules that are relevant to your business rather than treating every part of the operation as a single change. This can be useful if you want to connect additional production or traceability processes while retaining parts of your current setup.
Our traceability software solution supports food manufacturing and processing operations, with modules covering areas such as purchasing, inventory, production, traceability, yield and despatch. Integration requirements depend on your systems and the information you need to exchange, so we recommend reviewing these as part of planning.
Related capabilities in the same ecosystem
Traceability is connected to other operational requirements. Hub & Spoke can support your wider setup with software, industrial equipment and services through our network of partners.
- Temperature monitoring to support temperature records and cold-chain processes.
- Labelling software and barcoding to help identify products, packs and cases.
- QMS quality management to support quality checks and process records.
- Data analytics to help review operational information and production performance.
- Logistics and E-POS to support despatch, warehouse flow and sales point integrations.
Our services can also include industrial weighing and inspection technologies. For example, weighing and labelling equipment can form part of a production workflow where product weights, labels and traceability records need to connect.
The right combination depends on your products, site processes and existing equipment. We can help you consider these capabilities together, so that software and machinery are selected with the wider workflow in mind.
Practical support from planning onwards
Selecting Traceability Software involves more than choosing features. Your team needs a system that suits its day-to-day processes and can be supported over time. We can help review your requirements, discuss system integration and consider the equipment and data capture needed at each stage.
Our wider services include process integration, project management, installation, maintenance, calibration, setup, verification and staff training. Support can be tailored to your requirements, including service level arrangements. We work with food manufacturers and processors to help build solutions that are suitable for their operation.
The best starting point is to discuss your current production processes, traceability requirements and any challenges you experience with batch tracking, record keeping or reporting. Food Service Solutions can then help you explore the available options and determine which approach best fits your operation.

1. What is food traceability software?
Food traceability software helps food manufacturers and processors track ingredients, batches and finished products throughout their operations. By connecting information from goods-in, production, packaging and despatch, it helps businesses understand where materials came from, how they were used and where finished products were supplied.
2. How does traceability software work?
A traceability system records and links relevant information as materials move through your business. This can include supplier details, ingredient batches, production records, product labels and despatch information. Depending on the system configuration, users can then trace products backwards to their ingredients or forwards to the finished goods supplied to customers.
3. Can I trace a finished product back to its ingredients?
Yes, where the system is configured to capture and link ingredient batch information to production runs and finished product batches. This allows you to investigate which ingredients were used in a particular product and helps you identify potentially affected batches if a quality or food safety issue arises.
4. Can traceability software help with food safety audits and compliance?
A well-configured traceability system can help you maintain, retrieve and present relevant records about ingredients, batches, production and despatch. This can support your food safety procedures and audit preparation. Your business remains responsible for ensuring that its records, working practices and system configuration meet the legal and industry requirements that apply to its operations.
5. Can the system help with product recalls?
Traceability records can help you identify affected batches, establish which ingredients were used and determine which business customers received relevant products. Having accurate, accessible records can support a faster and more targeted response to a food safety incident, although the effectiveness depends on the completeness of the data captured and the procedures in place.
6. Can traceability software integrate with our existing systems and equipment?
Integration options depend on your existing software, production processes and equipment. Food Service Solutions can discuss your current setup and identify suitable options for connecting traceability with relevant systems, such as ERP, weighing, barcode scanning and labelling equipment, where supported.
7. Do we need to replace our existing system?
Not necessarily. Depending on your current systems and requirements, it may be possible to extend existing functionality or introduce a complementary traceability solution. We can review your current processes, identify any gaps and discuss the most appropriate approach for your business.
8. Is traceability software suitable for small and large food manufacturers?
Traceability requirements vary depending on the size of your operation, the products you manufacture and the complexity of your processes. The right solution should reflect your actual needs, whether you operate a single production line or a more complex manufacturing environment with multiple products, batches and sites.
9. How long does it take to implement traceability software?
Implementation times depend on the complexity of your operation, the systems and equipment involved, the quality of your existing data and the level of integration required. Following an initial discussion, we can assess your requirements and outline a realistic implementation approach.
10. How can I find out whether your traceability software is right for my business?
The best starting point is to discuss your current production processes, traceability requirements and any challenges you experience with batch tracking, record keeping or reporting. Food Service Solutions can then help you explore the available options and determine which approach best fits your operation.
